Esquimalt Gorge Pavilion Booking Form

Please complete the following questions in order for us to best be able to reply with availability/options available for your date/event of interest. 

Please note:

  • The public has access to the park—you can reserve an area of the park and have the right to ask people to leave that area only.  It is recommended to have a copy of your contract with you on the day/time of your event. 
  • If you are not booking the full facility, there is the possibility of another user group renting other rooms in the building at the same time of your event.
  • All rentals are required to obtain Liability Insurance and provide to Township staff no later than two week prior to facility rental.
  • Each booking includes tables and chairs and we set up/take down.  We require a floor plan at least 2 week before your event.  For full pavilion rentals we do not move tables and chairs mid booking.
  • If you are looking to have an event with alcohol you will need a letter of permission from the Municipality and a Special Event Permit (SEP) from the Liquor and Cannabis Licensing Regulation Branch. 
  • Due to high demand of event requests, please allow 3 - 5 business days for a response. 
  • Full Facility Booking Requests
    Full facility booking requests are being accepted for bookings up to December 31, 2025.  To secure the Full Facility booking request we will require a $500 non-refundable deposit.  As of January 1, 2025 we will be accepting full facility bookings until December 31, 2026. 
  • Individual Room Booking Requests
    Individual room requests will be accepted seasonally. Please see below the date ranges listed below on when requests will be accepted, 
    • January to June 2025 opens October 14, 2024
    • July to August 2025
      • opens October 14, 2024 for weekend bookings (Friday - Sunday) 
      • opens March 13, 2025 for all days (Monday - Sunday) 
    • September to December 2025 opens June 9, 2025
  • All bookings require a $500 refundable damage deposit. 
  • Individual room booking include: lower/upper halls, lower A/B, B/C, and board room.

Starting October 14, 2024, we will accepting individual room requests from January to June 2025 (including weekends in July and August only) on that date. Please submit your request on October 14, 2024.
